A request reached us at 6:08 one evening with a 7:00 cutoff. Fifty-two minutes.
That happens because the assignment moved, the traveler is already booked, and you are working the clock you were handed. The furnished operator on the other end usually cannot answer inside it, and the reason is duller than it looks. The person who knows what is free and the person who can price it are the same overloaded human, and at 6:08 that human is at dinner.
You cannot fix their staffing. You can change what you send them, and it moves the answer more than urgency does.
Send three things
- The market. City and state, or a radius. Not a street address.
- The date range. Start date and how many nights, even if the end is soft. "Around the 14th, roughly 90 nights" beats "ASAP".
- How many people. Beds needed, and whether they are sharing.
With those three, an operator can open a calendar and answer yes or no. Everything else is detail that can follow.
Two things that slow it down
A street address
It reads as precision and it narrows the search to one pin, which means the operator is now checking inventory that may not be free and cannot offer you the unit four streets over that is. Send the market and let them come back with what is actually open.
A budget, in the first message
It invites a number before anyone has checked a calendar, and a number quoted from nothing gets revised later, which is worse than a slower first answer. Ask what is available, then talk about money once something real is on the table.
What a good answer looks like
A yes with dates on it, or a straight no. An option with no confirmed dates is not an option: it is a unit someone thinks is probably free, and you find out on Monday that it is not.
If a vendor sends you three of those, ask which one they have actually confirmed this week. The honest ones will tell you, and the answer to that question tells you who to send the next one to.
We miss some too. A request landing at eleven on a Friday night sits until morning here, and no amount of better formatting changes that.
